About this meeting ID generator

Free online meeting ID card generator from IssueBadge. Pick a template, fill in participant and event details, download a print-ready PDF. Sized to standard ID-1 (credit-card size) by default and laid out for A4 or Letter paper, so the cards line up cleanly without manual cropping.

Five templates cover the most common needs: Rotary Club meetings, conferences, corporate meetings, training sessions, and trade shows. Each template comes pre-configured with the right fields and the right look for that audience.

Standard meeting ID card sizes

Most meeting ID cards follow one of three dimensions. The right one depends on whether the card hangs on a lanyard, clips to a pocket, or fits in a wallet.

Size name Dimensions Fits on A4 Best for
ID-1 (credit card)85.6 × 53.98 mm (3.375 × 2.125 in)8 per pageWallet-size meeting IDs, member cards, club IDs
Conference badge101.6 × 76.2 mm (4 × 3 in)4 per pageLanyard-hung event badges, conference IDs
A6 hanging badge105 × 148 mm (4.13 × 5.83 in)2 per pageTrade-show staff badges, large-format VIP IDs
Letter / A4 (full page)210 × 297 mm or 8.5 × 11 in1 per pageSingle-day welcome desk badges, table tents

The default in this tool is ID-1 — the credit-card size — because it slips into nearly every off-the-shelf badge holder and lanyard pouch without trimming. Switch to the 4 × 3 inch conference layout when you need a larger surface for an event logo.

Why this tool prints on A4 paper

A4 (210 × 297 mm) is the international standard paper size. Every country except the United States, Canada, Mexico, and the Philippines uses it as the default. If you've ever bought a ream of paper outside North America, it was A4.

Three reasons A4 is the default for printable ID cards:

  • Universal printer support. Every desktop and office printer in the world handles A4 natively.
  • Clean multi-up math. One A4 sheet fits exactly 8 credit-card-sized IDs (4 across, 2 down) with even gutters. No awkward leftover space.
  • Avery and label-sheet compatibility. Pre-cut label sheets sold internationally use A4 dimensions.

If you're in the US, switch your printer to Letter (8.5 × 11 in). The card dimensions stay the same — only the paper is different. The PDF includes trim guides for both.

5 ready-made templates

Each template is pre-styled with the fields, colors, and layout that fit its audience. Pick the one closest to your event and tweak from there.

1. Rotary Club Meeting ID

For Rotary International, Rotaract, and Interact club meetings. Carries the Rotary wheel motif, deep blue and gold palette, and a "Service Above Self" footer.

Fields: Member name · Club name (e.g., Rotary Club of Dhaka) · Position (President, Secretary, Treasurer, Director, Sergeant-at-Arms) · Member ID · Year of induction · Optional photo

Use cases: Weekly luncheon meetings, district conferences, club elections, charter night, RYLA, fundraising galas.

2. Conference / Event Badge

For multi-day conferences, summits, and tech events. Bold name in a large font for across-the-room recognition. Color stripe for role differentiation (Speaker, Attendee, Sponsor, Press).

Fields: Attendee name · Title and company · Event name and dates · Role band · Auto-generated meeting ID · QR code

Use cases: Tech conferences, industry summits, dev meetups, academic conferences, networking nights.

3. Corporate Meeting ID

For internal company meetings, board sessions, all-hands, and visiting-stakeholder events. Clean monochrome design with company logo placement.

Fields: Employee name · Department · Job title · Photo · Visitor / Staff / Vendor band · Meeting access ID

Use cases: Board meetings, town halls, vendor visits, audit days, executive offsites, investor days.

4. Training Session Badge

For workshops, certifications, and training programs. Distinguishes Trainer / Trainee at a glance and includes session number for multi-day cohorts.

Fields: Participant name · Cohort or batch number · Trainer or Trainee role · Course name · Session date

Use cases: Corporate trainings, certification programs, bootcamps, workshops, university orientation.

5. Trade Show / Exhibition ID

For exhibitor staff and visitors at trade shows. Larger conference-badge format (4 × 3 in) so the company name is readable across the floor. Color-coded for Booth Staff / Visitor / Press.

Fields: Visitor name · Company · Booth number (for staff) · Day pass / Full event pass · QR code linking to lead-capture form

Use cases: Industry trade shows, expos, exhibitions, B2B events, product launches.

  • Set printer scale to 100% (or "Actual size"). "Fit to page" or "Shrink to fit" will throw off the trim guides and make the cards too small.
  • Use card stock, not regular paper. 200–300 gsm gives a stiffness similar to a real ID card. Standard 80 gsm office paper is too flimsy for lanyard wear.
  • For lanyard pouches, print on glossy or matte photo paper. Glossy resists smudging better in busy event halls.
  • Cut with a paper trimmer, not scissors. A small guillotine trimmer keeps the edges square — essential when 50+ cards line up next to each other.
  • Print one test page first. Verify the card outlines on the test print measure the size you expect before committing 30 sheets to a real run.

Frequently asked questions

What size is a standard meeting ID card?

The most common size is ID-1, defined by ISO/IEC 7810: 85.60 × 53.98 mm (3.375 × 2.125 inches), the same as a credit card. For lanyard-style conference badges, 4 × 3 inches (101.6 × 76.2 mm) is standard. The tool supports both.

Why does the tool print on A4 paper?

A4 (210 × 297 mm) is the international standard paper size used by every printer outside North America. It fits 8 ID-1 cards or 4 conference badges per sheet, lining up cleanly with the trim marks. US users can switch to Letter paper (8.5 × 11 inches) without changing dimensions — both work.

Is there a Rotary Club meeting ID template?

Yes. The Rotary Club template is one of five built-in designs. It includes member name, club name, position (President, Secretary, Director, etc.), member ID, and the Rotary wheel motif. Works for Rotary International, Rotaract, and Interact clubs.

Is the meeting ID generator free?

Yes. No signup, no watermark, no per-card fee.

Can I add a participant photo?

Yes. Upload a photo from your device. It appears in the photo slot on templates that include one (Rotary, Corporate, Trade Show).

Does it generate a unique meeting ID per card?

Yes. Each card gets a unique alphanumeric meeting ID generated automatically. You can override it if your event uses a custom numbering scheme.

Are my participant details uploaded anywhere?

No. The whole tool runs in your browser. Names, photos, and event details never leave your machine. The PDF is built locally.
