How to make printable name tags in 5 steps

  1. Pick a layout. For one large tag, choose Single. For multi-up label sheets, match the Avery code printed on your label package — Avery 5390 if you bought 3-per-page sheets, Avery 5395 for 8-per-page, and so on. The PDF dimensions are matched to each.
  2. Choose a design template. Eight templates cover the common looks: clean corporate, bold conference, photo ID, QR code badge, minimal, branded with logo, and two for events with sponsors.
  3. Enter names. Type one name for a single tag, or paste a CSV for bulk events. Include columns for name, title, company, email, phone — whichever your template uses.
  4. Upload assets if you need them. Add a logo for branded tags. Add photos for ID badges. QR codes auto-generate from the contact data you entered (vCard format, so attendees can scan to save the contact).

  • Set printer scale to 100%. Do not check "Fit to page" or "Shrink to fit." Either will offset every tag and make the labels misalign.
  • Print one test page on plain paper first. Hold it up against your Avery sheet. If the borders match, you're good.
  • Use the right paper type. Heavier card stock (65–110 lb) for single tags. Avery-branded sheets for the multi-up layouts — generic sheets often have slightly different margins.
  • For laser printers, use 5000-series Avery codes. For inkjet-only, 8000-series. Universal codes work on both.
  • Print on the rough side. The label side feels slightly textured. The shiny side is the backing.
