How an HR team runs a batch

What is an HR certificate maker?

An HR certificate maker is a tool that lets People Ops and L&D teams design a training certificate once, then issue it to employees in bulk with a verification link and QR code on each copy. It replaces the Word-template-plus-signed-PDF workflow that most HR teams still run for onboarding, OSHA, sexual harassment training, and recognition awards.

Can I issue training certificates to a whole onboarding cohort from a CSV?

Upload a CSV with employee name, work email and optional fields like hire date, department, training name and completion date. A certificate is generated for each row and the recipient gets an email with a download and a verification URL. Most onboarding cohorts we see fall in the 20 to 120 employee range per batch.

Is this suitable for OSHA, HIPAA and other compliance training records?

Each certificate carries a tamper-evident verification page with the training name, completion date, recipient and issuer. Records stay accessible for the retention period your auditor requires, and you can export a CSV of issuances per training, which is what most OSHA and HIPAA audits actually ask for.

Does it integrate with our LMS or HRIS (SCORM, Moodle, Workday Learning)?

There is a REST API and webhooks that work with SCORM-based LMS platforms (Moodle, TalentLMS, Cornerstone) and HRIS like Workday Learning, BambooHR and ADP. The common pattern is course completion in the LMS triggers a webhook that issues the certificate, so HR does not have to touch a CSV at all once the integration is live.

What is the difference between a recognition certificate and a compliance certificate?

The data model is the same; the workflow is different. Compliance certificates have an expiry date and renewal reminders, and they live in an audit-export view. Recognition certificates (employee of the month, service anniversaries, project completion) are evergreen, optimized for LinkedIn sharing, and tracked alongside engagement metrics rather than compliance dates.

Will a future employer be able to verify a certificate during re-employment screening?

Every certificate has a public verification URL that shows the issuing company, training name, recipient, issue and expiry dates. Background-check vendors and recruiters can reach the verification page directly without needing an account. The page is also formatted for the 1EdTech Open Badges 3.0 spec, which is the standard most credential verifiers already accept.

How much does it cost for a 50-person SMB versus a 5,000-employee enterprise?

There is a free tier that covers low monthly volumes and is enough for an SMB running quarterly compliance refreshers. Paid plans scale by monthly issuances and add SSO, audit logs, white-label verification pages and a dedicated success contact. Enterprises with 1,000+ employees usually move to an annual plan with a per-issuance rate that drops sharply at volume.

Where is the employee data stored, and is it GDPR compliant?

Data is stored in encrypted form in our cloud database with regional options for EU customers. We support GDPR data subject requests (export and deletion), sign DPAs with enterprise customers, and the only fields we require are name and email. Optional fields like department or hire date are at your discretion and can be redacted from the public verification page.
